Inbox Manager (Part-Time)

Function: Client Delivery, Inbox Management, Upwork Proposals, Operational Support
Responsibility: Manage inbound lead replies across all client campaigns, ensure fast and accurate routing, maintain clean inbox operations, and support outbound proposal workflows
Reports to: CEO
Location: Remote
Compensation: $600–$700/month (15–20 hours/week)

The Role
We’re hiring a part-time Inbox Manager to support our outbound operations across multiple clients. This person will manage all positive replies that come into our email systems, respond appropriately, route leads to clients, and keep conversations organised and moving forward.
You’ll also assist with sending Upwork proposals using templates and guidelines we’ve already created, with room to take on more responsibility if you show strong communication skills, judgment, and initiative.
This is a high-trust operational role where responsiveness and attention to detail directly impact client results.
What You’ll Be Doing
Inbox Management (Primary Responsibility)
- Monitor campaign inboxes throughout the day (checking ~every 1–2 hours)
- Identify positive replies and qualify them according to our criteria
- Respond using our templates or escalate if needed
- Route opportunities to clients quickly and cleanly
- Tag, organise, and update statuses inside our systems
- Flag deliverability or volume issues to the team when something looks off
Upwork Proposal Support
- Send tailored proposals using our frameworks
- Update tracking systems and keep success data clean
- Help maintain a consistent brand voice and tone
General Operational Support
- Document recurring patterns or issues in inboxes
- Suggest improvements to templates or workflows
- Potential to expand into client success, copywriting, or tech/automation depending on skill set
Who We’re Looking For
Someone who:
- Is online consistently throughout the workday (this is essential, inbox replies come at all hours)
- Communicates clearly, concisely, and professionally in English
- Has strong attention to detail and can follow guidelines with precision
- Learns quickly and enjoys problem-solving in a dynamic environment
- Takes ownership and doesn’t let messages or tasks slip
- Is comfortable working independently and asynchronously
- Wants long-term growth into a bigger role (CSM, copywriting, automation, etc.)
This role is ideal for someone who already works online or freelances and can check inboxes regularly during the day.
Time Commitment
- 15–20 hours/week total
- Spread across the day: typically 3–4 hours/day in shorter intervals
- Flexible schedule, but responsiveness is required
Compensation
- $600–$700/month
- Part-time, long-term position
- Possibility to expand into a larger role with increased pay
